Customer communication across all channels

M/OMS is the output management system from kwsoft®. It ensures that customer communication is delivered in the right format, via the right output channel, and at the right time – for example, in the customer portal, via SMS, email, or letter.

All data and metadata collected during the creation process are available to M/OMS, enabling the system to generate any required physical or digital output. It therefore acts as an omnichannel solution for all types of customer communication.

M/OMS enables the centralized orchestration of all physical and digital delivery channels—from print and email to portals and archives. Integrated interfaces seamlessly connect all channels and allow for consistent control. This ensures maximum flexibility while maintaining end-to-end control over the entire output process.

Intelligent document preparation and delivery optimization

M/OMS ensures that documents are automatically bundled, sorted, and enriched with relevant information before dispatch. This includes, among other things, combining documents into shipments, controlling inserts, and integrating features such as barcodes. As a result, delivery processes become more efficient and cost-optimized.

Minimization of delivery and production errors

The output management system ensures that documents are delivered correctly, completely, and to the right recipients. Rule-based control and automated validation mechanisms prevent typical errors such as misprints, incorrect envelope stuffing, or faulty deliveries. Functions at a glance

  • Finzalization of customer communication – M/OMS optimizes the created transactional communication based on defined criteria and prepares it for physical or digital delivery. For example, the output management system generates an email with text and the appropriate attachments and transfers it to the mail server, stores important documents in the customer portal, sends short messages via SMS or messenger, or optimizes postage and delivery for outgoing letters.

    M/OMS essentially operates in four steps:
  • Receive – Collecting, importing, and registering the files to be processed
  • Split – Splitting input data streams according to different output channels or processing methods
  • Stack – Assigning data to the defined processing stacks such as print, email, portal, archive, etc.
  • Extensions – Various functions, including processing output parameters, applying Data Matrix/barcodes/OMR, generating cover sheets, rendering into output formats, and implementing customer-specific functions

Depending on the configuration, data is either deleted after output or remains available for further processing. For example, if an invoice is not accessed in the portal within a defined period, feedback is sent to M/OMS, which then initiates a print process with postal delivery.

M/OMS Output formats

The output formats supported by M/OMS include a wide range of standard and specialized formats for various document output requirements. These include classic print and page description languages such as AFP, PCL, and PostScript, as well as web and graphics formats such as HTML, PNG, SVG, and TIFF.

In the PDF domain, various PDF versions and specialized standards are supported. These include PDF/VT for variable data and transactional printing, PDF/UA and PDF/UA-2 for accessible documents, and multiple PDF/A variants for long-term archiving, such as PDF/A-3 (e.g., for ZUGFeRD invoices). In addition, PDF/X standards for professional printing are also supported.

Modules around M/OMS

M/OMS Cockpit

The M/OMS Cockpit is the browser-based user interface of M/OMS, through which administrators control and monitor ongoing output processes. The status of each processing step is transparent, and individual documents or entire jobs can be reprocessed if required.

M/OMS DO

M/OMS DO stands for Dispatch Optimizer and is an add-on module for optimizing postal delivery. The system uses all common parameters of postal services, such as ZIP codes, tariff levels, containers, pallets, etc. M/OMS DO handles:

  • Postage and delivery optimization
  • Data processing-based franking
  • Insert control
  • Weight-based shipment optimization

M/OMS Input X

M/OMS Input X is an additional component of M/OMS that enables the import and processing of formats beyond M/TEXT, such as PDF, AFP, PCL, and SAP GOF. This turns M/OMS into a central solution for the output of all documents generated within the company—even if they were not created with M/TEXT.

Closed Loop

M/OMS follows a closed loop approach in which the actual processing result from the output channel (e.g., an inserting system) is fed back into M/OMS. The goal is to ensure, through a target/actual comparison, that all documents have been processed correctly and successfully in the respective delivery channel.

In the event of an error, a reprint stack can be triggered automatically, or the affected split documents can be marked for reprocessing.
